Volunteering in Meridian School District

Meridian School District recognizes the value of volunteers andVolunteer their contributions to our students’ education. Volunteers enrich student learning opportunities in classrooms, in schools and on field trips. These volunteers are parents, relatives, community members and students who are committed to helping our students be successful.

All volunteers should complete the required volunteer approval process, and be approved before they can begin volunteering.

Board Policy and Procedure 5630 and Policy 5005 govern the responsibilities of the volunteers and our schools.

Process to Volunteer

All volunteers are required to complete a background check. Depending on the volunteer type, you may also be required to be fingerprinted. For example, volunteers who work one-on-one with students, must undergo a background check and fingerprinting. Below describes the approval process for each volunteer type. Forms

Prior to volunteering, volunteer coaches are required to submit to Human Resources:

  • Non-Staff Registration form
  • Washington Access to Criminal History (WATCH) form

Volunteer coaches must have clear fingerprint results on file with Office of Superintendent of Public Instruction (OSPI) and clear results in the WATCH system.

Human Resources will confirm through Education Data System (EDS) that the volunteer coach has clear fingerprint results on file or provide them with fingerprint information.

Training

A Vector Solutions training account will be established for the volunteer coach, and they will have 15 days to complete the program.

Approval

With clear WATCH results, a volunteer coach may begin participating in team activities, however, they must be in visual sight of a school district employee until their Non-Staff Registration form is signed off at the District Office and a copy sent to the Athletic Director.

Forms

Prior to volunteering, one-one-one volunteers are required to submit to Human Resources:

  • Non-Staff Registration form
  • Washington Access to Criminal History (WATCH) form

One-one-one volunteers must have clear fingerprint results on file with OSPI and clear results in the WATCH system.

Human Resources will confirm through Education Data System that the one-one-one volunteer has clear fingerprint results on file or provide them with fingerprint information.

Training

A Vector Solutions training account will be established for the one-on-one volunteer, and they will have 15 days to complete the program.

Approval

With clear WATCH results, a one-on-one volunteer may begin their placement, however, they must be in visual sight of a certificated employee until their Non-Staff Registration form is signed off at the District Office and a copy sent to building administration.

Forms

Prior to being placed, student teachers are required to submit to Human Resources:

  • Non-Staff Registration form
  • Washington Access to Criminal History (WATCH) form

Student teachers must have clear fingerprint results on file with OSPI and clear results in the WATCH system.

Human Resources will confirm through Education Data System that the student teacher has clear fingerprint results on file and a Residency Clearance Letter on file with OSPI.

Once confirmed, a district email account will be created for the student teachers use while placed in the district.

Training

A Vector Solutions training account will be established for the student teacher, and they will have 15 days to complete the program.

Approval

Student teachers must be in visual sight of a certificated employee until their Non-Staff Registration form is signed off at the District Office and a copy sent to building administration.

All other volunteers are required to submit a completed WATCH Form to the main office of the building they will be volunteering in.

Examples include, but are not limited to: building or classroom volunteer, Compass 2 Campus Program, chaperone (dance, field trip, etc.), guest speaker (assembly or classroom), military recruiter.

Fingerprinting

Fingerprint cards and information on agencies are available at the District Office. Fingerprint costs are not covered by the district. The District Office will advise when fingerprints have cleared the system.
