Staff Vacations

This policy shall apply only to annual (twelve-month) employees who are not covered by a collective bargaining agreement.

Employees covered by this policy shall accrue annual vacation, exclusive of legal holidays, at the rate of twenty (20) days. After seven (7) years of service, a maximum of twenty-five (25) days of vacation will be awarded. Vacation leave for part-time (less than 1.00 FTE) employees shall be computed on a pro-rated basis.

Vacation leave must be approved in advance by the employee’s immediate supervisor. Leave may be granted or denied consistent with the operational needs of the district, as determined by the district at the district’s discretion.

Vacation Accumulation, Carry Over, and Exceptions

For employees covered by this policy, vacation days may be accumulated in an amount not to exceed thirty (30) days. Employees may carry over no more than thirty (30) days of accrued vacation leave at the end of each fiscal year. Any vacation leave balance in excess of thirty (30) days as of the fiscal year-end will be forfeited, unless otherwise required by a negotiated agreement or Superintendent approved exception.

Exceptions to an employee’s ability to carryover more than thirty (30) days, may be granted only in limited circumstances, such as operational necessity or extended leave restrictions beyond the employee’s control, and must be:

  • Submitted by [insert desired submission window]
  • Requested and documented in writing
  • Reviewed by the Finance Department for fiscal impact
  • Approved in advance by the Superintendent or designee

Change in Leave Status

When a situation arises while an employee is on paid vacation leave for which the employee is entitled to other leave (e.g., illness, injury, bereavement), the employee may be granted such leave, in lieu of the approved vacation leave, provided that the employee submits a request and supporting documentation acceptable to the district within fourteen (14) days after returning to work. Such request shall indicate the type of leave requested and the circumstances requiring change in leave status.

Separation of Employment

Employees covered by this policy will be compensated up to a maximum of thirty (30) days upon separation of employment at the then-applicable salary rate.
